An inefficient office can cost productivity which means money. Fortunately, there are some simple things you can do to improve the efficiency of your office. Taking a little bit of time now will save you a lot of time later.

Organising an office for the best and most efficient operation isn’t simply a matter of moving things about, rearranging files or even clearing your desk or workstation. The first step is to de-clutter by getting rid of anything you don’t need.

Office furniture and equipment

Do you have office furniture and/or office equipment laying around unused? Anything that needs repairing, consider repairing it or discard it and replace it. Office furniture can also include office decorations and plants. If you’re not sure whether you should keep an item, consider when you last used it and when you might need it again. If it’s covered in dust or hidden away, it’s probably not needed!

Filing and labelling

Having a system that is easy to use will make it much easier and faster for your entire office. Use a labelling machine to label things such as filing cabinets, drawers, containers, and shelves. Create folders or filing trays for work in progress, meetings/appointments, work waiting on reply, or any other type of system that suits your business. Consider colour coding folders using a traffic light system (red=not ready, amber=pending, green=ready) to
make it easy to see your workflow at a glance.
